Administrative Assistant (Canada Summer Jobs)

Position summary

The Administrative Assistant, helping the Executive Leadership Staff, ensures that operational needs of the organization are met in a timely, communicative, and organized way. 

Role and Responsibilities

  • Act as a point of contact for the Director, staff, volunteers, and external partners.

  • Answering general email inquiries, and forward to applicable staff when necessary.

  • Scheduling meetings, both one-on-one and involving multiple people both within and outside of the organization. Consider multiple staff calendars when scheduling meetings. Keep the Director schedules up to date by adding events, meetings, and other engagements to their Google Calendar. 

  • Take minutes during meetings in a clear and concise manner, and maintain digital organization of meeting minutes in the Organization’s Shared Google Drive.

  • Write correspondence on behalf of the Director.

  • Run errands on behalf of the Director or other staff, such as mail or minor purchases. 

  • Take dictation on behalf of the Director.

  • Summarize notes on behalf of the Director.

  • Making phone calls on behalf of the Director.

  • Assist with scanning, faxing and filing. 

Salary: $20/hr, 30 hours per week, 12 weeks

Contract Type: Fixed term – Full-time, flexible start date, May/June 2025 to July/August 2025

Location: Remote
